Before Your Event
- Create your Wedding or Event vision and design from the smallest details to the things that matter to you most
- Design Tables capes, lighting, ambiance, work closely with the florist on the selections of flowers and arrangements. Create the design with specialty rentals to create a unique atmosphere within your budget.
- Coordination and ordering of all rental items including: tables, linens, flatware, glasses, lounge furniture, draping, custom dance floors and any other décor items desired.
- Provide mockup of an event table scape
- Planning the arrival and pick up time of all rentals and deliveries
- Coordinate logistics of set up and tear down with vendors of rentals and personal items such as: guest book, programs, place cards, gifts, cake cutters, toasting glasses, etc.
- Provide information on vendors that best suit your budget and style
- Arranging an itinerary (meet and greet) for potential vendors and any other future appointments through the planning process.
- Accompany you and your fiancé to vendor appointments
- Assist in music or band choice, taking the venue and ambiance into consideration.
- Booking your selected vendors, manage agreements and make revisions to proposals after head count is received.
- Prime contact/liaison between the vendors and clients
- Create a customized detailed wedding budget. Analyze, track and manage the budget throughout the planning process.
- Setting up trial appointments for your hair and make up
- Keeping track of vendor payments; reminders will be sent to you in a timely manner.
- Mailing vendor payments
- Assisting in selection of your menu choices. Working with the caterer on the culinary selection, food design, and wine/libation pairing for a unique, exquisite culinary experience.
- Assist in music or band choice, taking the venue and ambiance into consideration
- Work closely with entertainment vendors on timing and execution of events within the wedding such as grand entrance, cake cutting, bouquet toss, etc.
- Research, design and coordinate specialty services such as candy bar, live event artist, silhouette portrait artist, charity donations, etc.
- Provide information on Marriage license and possible permits needed for weddings or events
- Will work closely with our designer in creating your save the dates, invitations and thank yous.
- Will take care of addressing, mailing, out invitations or save the dates and keeping track of RSVPs. Client will be billed separately for this service and must provide a master guest list.
- Setting up trial appointments for hair and make up
- Assist in choosing a bridal dress; arrange custom bridal styling ad make appointments with couture designers or a bridal salon
- Confirming all tux measurements from the groomsmen, ring bearers and fathers
- Confirming all measurements for bridesmaids and flower girls dresses
- Creating an itinerary for the bridesmaid’s hair and make up for the day of the wedding.
- Suggest and order gifts for your bridal party. Clients will be billed separately.
- Suggest creative ideas, design and place orders for guest favors
- Arrange and provide appropriate transportation styles to fit your event and arranging transportation of bridal party and guests
- Reserving hotel blocks for your bridal party and guests
- Research and implement your culture and religious traditions for the event
- Contact all vendors a couple of weeks prior to the event to confirm all details and contracts
- Will provide a vendor list with arrival times and contact information to the venue coordinator
- Will create a detailed timeline, ceremony layout, transportation schedule and itinerary for all people involved in the event.
- Will direct the rehearsal the night before the wedding and present the detailed itineraries for the ceremony and reception
Day of your wedding
- TOS Events will be the first to arrive and the last to leave
- Providing the vendors with a detailed itinerary and exact timeline of their roles in your ceremony and reception
- Coordinate and deliver all wedding accessories to the event
- Assist with any and all last minute details and decorations
- Create customized bathroom basket for the female guests
- Ensure all party members are ready for the ceremony & reception as scheduled
- Assist the ceremony officiate or priest
- Direct wedding party: correct order in walking down the aisle
- Cueing musicians , DJ, or band
- We will organize and assist any entertainment that is hired for the day of the event
- Distribute final payments and tips to your vendors
- Supervise and assist with vendor clean up at the end of the event
All the Fun Little Details…
- Concierge package for your guests including: a welcome letter, contact information for room blocks at selected hotels, best restaurants in the area, things to enjoy during the day for the family or just a romantic day for two, things to enjoy at night with for the family or a fabulous dinner for two, contact information for TOS Events staff. Baskets will be set in every room of the hotel block or can be mailed in advance.
- Welcome baskets for wedding party that our filled with amazing chocolates, snack food, water, champagne, menus of local restaurants map of the area, taxi or car services, and directions to the wedding site from the hotel etc.
- We have recommendations for certified babysitters in the area.
- Plan activities for the weekend for your guests to enjoy: welcome dinner or barbeque, afternoon cocktail hour, wine tasting, beach day, Sunday brunch, children’s games, casino night.
- We will pack up and deliver any remaining items and gifts after your ceremony

- Design and arrange bridal shower and bachelorette party

The Ultimate Groom package:

- Set up a Casino night after the rehearsal dinner
